Returns, shipping, warranty, and support information for all Quick Fresh Vending purchases.
Before your machine ships
Confirm the receiving plan in writing.
Your formal quote should identify the exact equipment, warranty coverage, freight method, destination access, lift-gate or inside-delivery services, and any non-refundable charges. The detailed terms below remain controlling.
- Before shipment: cancellations are eligible for a full refund under the policy below.
- After shipment: freight and restocking deductions may apply to an authorized return.
- At delivery: inspect the shipment, photograph visible damage, and report it immediately; the current policy requires notice within four hours.
- Before a return: request an RMA and confirm packaging, timing, shipping responsibility, and expected deductions.

Final Sales
Consumer purchases made from vending machines through installed credit card readers are deemed final. Equipment and parts purchases are governed by the cancellation, return, defect, shipping, and warranty terms below, together with applicable law.
Cancellations
Cancellations are allowed provided the items have not yet been shipped or transferred. Pre-shipped cancellations will result in a full refund. For items already shipped or transferred, a 25% restocking fee will be deducted from the refund amount.
Defective Items
Should you receive a defective item, notify us within 7 days from the date of delivery at info@quickfreshvending.com. The buyer is responsible for all return shipping and handling fees. Items must be returned in their original condition, including packaging. Upon inspection, if the item is confirmed as defective, a refund or replacement will be initiated, excluding shipping costs.
Machine Returns and RMA Procedure
When returning a vending machine, the buyer is obligated to secure and package the machine in the same condition as it was initially shipped from Quick Fresh Vending. Failure to do so will result in the buyer being liable for all costs associated with restoring the machine to its original condition.
Ownership of the returned machine will remain with the buyer until Quick Fresh Vending confirms that the machine has been received in the same condition as it was originally purchased. Refunds, if applicable, will be issued for the machine's purchase price, minus shipping costs, a 25% restocking fee, and any deductions for repairs or damages.
All returns must be accompanied by a Return of Merchandise Authorization (RMA). RMAs can only be obtained within 7 days of receiving the machine or 60 days from the original purchase date, whichever comes first. No returns will be accepted after this period.
Shipping and Handling
Shipping costs are non-refundable. Any authorized returns require the customer to cover return shipping and handling fees unless the item is defective.
Additional Terms
- Items must be returned within 7 days from the delivery date.
- Adequate packaging is the buyer's responsibility to prevent damage during transit.
- Refunds will be processed using the original payment method.
- Quick Fresh Vending reserves the right to decline returns or refunds if the item is not in its original condition.

Shipping Quotes
All shipping quotes provided are valid for 48 hours. Shipping rates may be adjusted and will be communicated to the buyer prior to shipment.
Shipping Methods
- Vending Machines: Shipping is via Less Than Truckload (LTL) freight carriers. The buyer is responsible for selecting the suitable delivery method.
- Non-Vending Machine Shipments: These will be shipped using a national carrier chosen by Quick Fresh Vending.
Shipping Coverage
We currently ship to the lower 48 states. We do not provide shipping services outside this area.
Damages
Report any shipping damages within 4 hours of receipt. Document and photograph the damages for claim processing. Failure to report within this timeframe may result in claim denial.
Shipping Types and Fees
Standard Shipping
- Commercial Addresses Without Lift Gate: Ideal for locations with a loading dock or forklift.
- Commercial Addresses With Lift Gate: Curbside delivery only.
Limited Access Locations
Additional fees apply for locations that are hard to access or require special arrangements, including amusement parks, government buildings, schools, and remote areas.
Custom Shipping Options
- Inside Delivery: Available upon request. Machine moved through one threshold.
- Priority Shipping: Expedited shipping at additional cost.
- Call Ahead: Driver calls when en route. Not 100% reliable — track your shipment.
- Appointment: Carrier schedules a delivery window. May delay shipment.
Detention Fees
If unloading exceeds 30 minutes, additional fees will apply in 15-minute increments. These are the buyer's responsibility.
Warehousing, Storage & Abandonment
Failure to Pay in Full
The buyer is required to pay the full purchase amount within 7 business days from the date of purchase.
Storage Fees
If purchased items are not picked up within 14 business days, storage fees begin to accrue:
- Vending Machines: $250 on the first day after the pickup period, then $15/day per machine.
- Smaller Items: $50 on the first day after the pickup period, then $5/day per item.
Abandonment
If the buyer fails to pay in full and pick up items within 30 calendar days, Quick Fresh Vending reserves the right to deem the merchandise abandoned and may dispose of it without further notice.
Warranty
Limited 1-Year Warranty
Vending machines and parts manufactured by Quick Fresh Vending are covered by a limited 1-year warranty against defects in materials and workmanship under normal use and service.
Warranty Exclusions
The warranty does not cover damages caused by mishandling, improper use, unauthorized repairs or modifications, accidents, negligence, or acts of nature. Return shipping costs are not covered unless deemed appropriate by Quick Fresh Vending.
Labor Charges
Labor costs for repairs under warranty are not included. Labor is charged at $150/hour from the time the technician leaves the Quick Fresh Vending facility. Rush labor is $250/hour.
Manufacturer's Warranty
Parts not manufactured by Quick Fresh Vending are subject to the respective manufacturer's warranty. It is the buyer's responsibility to confirm warranty terms for non-QFV parts.
